PROS Smart CPQ pricing, features and alternatives

PROS Smart CPQ is worth buying when the hard part of a quote is the price rather than the configuration, and you have the transaction history to train a recommendation on. Pricing is quote-only: PROS routes buyers to a demo and review directories list pricing on request. Some directories show a starting figure we could not match to anything PROS publishes, so it does not appear here.

The short answer

Buy PROS Smart CPQ if margin leakage from discounting is a known, measured problem, you sell configurable products with many SKUs, and you run Salesforce or Dynamics 365 and want quoting inside the CRM. PROS is a pricing optimization company that also sells CPQ, and that heritage is the reason to shortlist it: G2 users credit it with help setting prices across many SKUs, and reviewers rate it well on complex product rules.

Skip it if your catalogue is simple and a discount approval matrix is the only control you need, because a configuration-focused CPQ will deliver the same quoting gains for less. Skip it too if your historical deal data is thin or dirty, since price guidance trained on bad history is confident and wrong. One Infotech reviewer calls the interface slightly outdated, so if rep adoption rests on the interface, test that with reps before you sign.

Where PROS Smart CPQ fits

PROS Smart CPQ fits an organization where pricing is a function rather than a field. That is the distinction worth holding onto through the whole evaluation: plenty of companies buy CPQ because quoting is slow, and for them the differentiator PROS charges for is overhead. The buyers who get value have somebody whose job is price, a catalogue large enough that nobody can hold the right price in their head, and a discounting pattern they can already describe in numbers.

It runs where your CRM runs, with a listing on the Salesforce AppExchange and a version PROS lists for Microsoft Dynamics 365. Those are not the same product, so confirm which features exist on your platform and how quote data syncs back to opportunities. The question to ask early, and in writing, is whether PROS's AI pricing guidance is part of Smart CPQ or a separate PROS pricing product, because that capability is the main reason buyers shortlist PROS over plainer CPQ tools and finding out at contract stage is expensive.

Price guidance only works on transaction history, which is the dependency most demos skip past. Ask what history the models need, how a recommended price is calculated, how a rep sees it on the quote and how overrides are tracked. Then run the recommendations against deals you already closed and see how often the model would have left money on the table or priced you out. A recommendation engine that cannot explain itself to a rep gets overridden on every deal and you have bought a quoting tool at a pricing tool's price.

Configuration depth is the other half, and it comes with maintenance. Infotech reviewers call it a good product for setting complex product rules, which is the right strength to buy and the right thing to stress-test: bring your hardest configuration, with incompatible options, a bundle that changes price by region and a product that was discontinued mid-quarter. Then ask what a rule change requires after go-live and who in your organization will be able to make it. Our CPQ RFP template is the document to put those questions in before a vendor chooses which ones to answer.

Finally, place the purchase in the wider quote-to-cash chain rather than treating it as a quoting tool. CPQ sits between the catalogue, the approval path and the contract, so the constraints that hurt are usually upstream or downstream of the tool you are buying. Work through our quote-to-cash process checklist first: if your real problem is that nobody knows who approves a 22 percent discount, a discount approval matrix solves it this month for nothing, and the other options sit in our CPQ software directory.

PROS Smart CPQ pricing

PROS does not publish Smart CPQ prices. Its site routes buyers to a demo, and review directories list pricing as available on request. A few directories do show a starting figure, but our September 2026 check could not match it to anything PROS publishes, so we do not repeat it: an unsourced starting price is worse than no price, because it anchors your budget to a number nobody will stand behind. What follows is the model and a set of published enterprise CPQ rates to anchor against instead.

Published enterprise CPQ rates to anchor against

Since PROS will not give you a number before a call, the only honest anchor is the published rate of the enterprise CPQ tools it competes with. These are their list prices, not PROS's, and each traces to our September 2026 check of that product's own pricing.

Oracle CPQ publishes its base CPQ Cloud Service at $240 per hosted named user per month with a 25-user minimum. That minimum is the floor: 25 x $240 x 12 = $72,000 a year before any of its metered lines, which include $35 per channel user per month, $5 per user per month for the Salesforce connector, $500 a month per 1,000 e-commerce or API interactions and $995 a month per shared test environment.

Salesforce Revenue Cloud lists Revenue Cloud Growth at $150 per user per month billed annually and Advanced at $200. For the same 10-seat quoting team, 10 x $150 x 12 = $18,000 a year on Growth, or 10 x $200 x 12 = $24,000 on Advanced.

PandaDoc CPQ shows what the bottom of the market looks like, at $19 per user per month on Starter and $49 on Business with annual billing, with CPQ workflows themselves quoted as an add-on. For 10 users that is $2,280 or $5,880 a year.

So a PROS quote has to be read against a published range that runs from a few thousand dollars a year at the light end to $72,000 at Oracle's enterprise floor. If PROS lands near the top, the premium has to be paid for by measured margin recovery rather than by quoting speed, because quoting speed is available much further down that range.

Five variables shape the proposal, and the second one is the question most buyers forget to ask until it is too late.

  1. The number of quoting users. Ask for a per-user annual rate so you can do your own arithmetic: for a 10-seat quoting team that is ten times the quoted monthly price times twelve.
  2. Whether pricing optimization is included in Smart CPQ or priced as a separate PROS product. This is the capability you are shortlisting PROS for, so its commercial treatment belongs in the first conversation and in the quote itself.
  3. Which CRM platform you deploy on, Salesforce or Dynamics 365, since feature coverage differs and the integration work differs with it.
  4. Implementation scope. Configuration rules, product catalogues and CRM integration are usually built by PROS services or a partner, so ask for a fixed-scope quote against your own catalogue rather than a day-rate estimate.
  5. Contract term and the cost of change after go-live: what a new pricing rule, a new product family or a new approval path costs once the implementation team has left.

Get four things in writing before signature: the per-user rate and what a user is, whether pricing optimization is inside the licence or beside it, implementation as a fixed scope tied to your named product families, and a rate card for post go-live rule changes. Ask what happens to your configured rules and quote history if you leave, and ask for the price guidance to be proven on your own closed deals before the contract rather than after it. Our CPQ RFP template puts those in a form a vendor must answer in writing, and how we check vendor pricing explains why a directory's unmatched starting figure gets left out of this page.

What PROS Smart CPQ gives up

You give up knowing the price, and you give up the usual workaround too. There is no published rate, and the directory figures that do circulate could not be matched to anything PROS publishes, so you cannot even triangulate. Budget from the published enterprise rates above, hold a competing proposal while you negotiate, and treat the first number as an opening position.

You give up value if your transaction data is thin. Price guidance is the differentiator and it is trained on history, so a company with two years of inconsistent discount records gets recommendations it cannot defend to a rep. Test the models on deals you already closed, and if the output cannot be explained line by line, you are buying a plain CPQ with a premium attached.

You give up a modern interface, on the evidence of reviewers. One Infotech reviewer describes the UI as slightly outdated, and in CPQ that matters more than it sounds: reps who find the quoting screen slow go back to building quotes in spreadsheets, and a configuration engine nobody uses protects no margin at all. Put it in front of your three least patient reps during the evaluation.

You give up a short implementation. Configuration rules, catalogues and CRM integration are built by PROS services or a partner, which means your go-live date depends on a services schedule rather than on your own team. Price that project as a fixed scope against named product families, and get the change-request rate card at the same time.

You give up a self-serve trial. PROS does not advertise one, so evaluations run through demos and whatever proof of concept you insist on. Ask for it explicitly, scope it to your own products and pricing rules, and run the licence and services estimate through our sales tool ROI calculator so the business case is a margin number rather than a story about faster quotes.

How PROS Smart CPQ compares

The split that decides this shortlist is what you are paying to fix. PROS, Conga CPQ and Logik.ai compete on configuration depth and quote privately. Oracle CPQ competes at the same enterprise end but publishes its rates, which makes it the most useful price anchor in the category even if you never buy it. Salesforce Revenue Cloud is the default comparison for Salesforce shops that would rather extend the platform than add a vendor. PandaDoc CPQ is in the table to mark the floor: if your real problem is turning a product list into a document a customer can sign, you are shopping much further down the price range. Published figures trace to our September 2026 check.

What to test in a PROS Smart CPQ evaluation

There is no self-serve trial, so the evaluation is a proof of concept you have to ask for and scope. Build it on your own catalogue and your own closed deals, and design each step to produce a figure a CFO will accept. The questions that decide the purchase are about margin, maintenance and the commercial model, not about the quote template.

  1. Hand over your hardest configuration, including incompatible options, a region-dependent bundle and a product retired mid-quarter. Note what could not be modelled and who had to be involved.
  2. Run price guidance against a year of closed deals and compare each recommendation with what you charged. Count the deals where it would have recovered margin and the deals where it would have lost you the business. That difference is the business case.
  3. Ask how a recommended price is calculated and have it explained for one specific deal until a rep in the room understands it. If the explanation does not survive that, the override rate will be high and the margin recovery will not happen.
  4. Confirm in writing whether pricing optimization is part of Smart CPQ or a separate PROS product, and get the commercial treatment of it on the proposal.
  5. Check feature coverage on your own CRM, Salesforce or Dynamics 365, and sync a quote back to an opportunity in both directions, including what happens when the sync fails.
  6. Have your own admin, not the vendor's consultant, change one pricing rule and one product rule. Time it. That is the cost of every change after go-live.
  7. Put the quoting screen in front of three reps and watch them build a real quote without help, since reviewers flag the interface and rep adoption decides whether any of this protects margin.
  8. Close the commercial loop during the evaluation: per-user rate, user definition, implementation as a fixed scope, the change-request rate card, term, renewal cap and your export rights on rules and quote history.
